Interacting with User Messages

User messages are requests for feedback sent from background processing; you reply to, forward, or delegate user message and add/remove attachments to/from them.he "Business > User Messages" overview is designed for end users needing to interact with user messages.

Tabs & Fields

Delegate / Forward Dialog

  • Comment - Free form text, accepts any combination of printable UTF-8 characters; limited to a maximum of 1000 characters.
  • Receiver User - user to forward/delegate the user message to. You specify any character sequence in the name of the user to filter out the user when there are too many users to choose from and the user you want cannot be located.

Manage AttachmentsAttachment - LinkURL to a website or file; ensure it is accessible to any assignees of the user message. Although file URL's are allowed, your browser might block them due to security restrictions.
Manage AttachmentsAttachment - DocumentSelect a document from the list; Note that users require View privileges on the document as well as any applications in the path or they will not be able to access it.
Manage AttachmentsAttachment - FileAttach any file from your computer (or any share accessible from Windows Explorer) to the user message.

Prerequisites

  • The following built-in role to access "Business > User Messages":
    • scheduler-business-user
  • Either or both of the following to view and reply to user messages:
    • User that is on the Participant Users list specified on the user message process
    • User that has been granted a role that is on the Participant Roles list specified on the user message process
  • You need the following additional privilege to add/remove attachments:
    • Edit on the process of the user message.

Procedure

Inspect a User Message

  1. Navigate to "Business > User Messages".
  2. Choose the user message you would like to inspect.
  3. In the lower detail pane you inspect the attachments, if applicable, and can see the history trail of all users that have edited the user message.

Add an Attachment

  1. Navigate to "Business > User Messages".
  2. Choose Reply from the context-menu of the user message.
  3. On the Manage Attachments tab, choose Add, fill in a Description.
  4. Perform one of the following for the Attachment:
  5. Link - specify a URL.
  6. Document - select a document from the list.
  7. File - choose Upload then Browse and navigate to the file you want to upload, choose open and Ok. The format should be filled by the system; note that the file extension is used to determine the format. If it is a plain text file (notepad.exe can display its contents correctly), select TextLog, if it is a binary file (notepad.exe cannot display the file properly) and the file format for the file is not available, select OctetStream.
  8. Repeat steps 3 and 4 for each attachment you wish to add.
  9. Choose Save & Close.

Reply to a User Message

  1. Navigate to "Business > User Messages".
  2. Select Reply from the context-menu of the user message you want to reply to. If there is no Reply action on the user message, it might have already been replied to; check the status.
  3. In the new Reply To dialog, select a reply in the Response field, optionally enter a Reply Comment.
  4. If you wish to inspect, add, or remove any attachments, see the procedure above.
  5. Choose Save & Close.
